AGMVote ("we", "us", or "our") is operated by Wingz Marketing & Sales, Inc. We are committed to protecting the privacy of the condominium corporations, board members, and unit owners who use our platform. This Privacy Policy explains how we collect, use, and protect your information.

1. Information We Collect

We collect the following types of information:

Account information: Name, email address, and unit number provided by your corporation's board administrator.
Authentication data: Login credentials managed securely through Firebase Authentication.
Voting activity: We record that a unit owner has cast a vote, but individual ballot selections are never recorded or stored.
Meeting data: AGM agenda items, proxy submissions, nominations, and quorum records as entered by board administrators.
Usage data: Basic technical information such as browser type and access times for security and debugging purposes.

2. How We Use Your Information

To provide and operate the AGMVote platform for your corporation
To authenticate users and maintain account security
To facilitate electronic voting, proxy management, and quorum tracking
To generate meeting summaries and audit trails for board administrators
To communicate platform updates or support information

3. Ballot Privacy

AGMVote is designed with ballot privacy as a core principle. While the system records that a unit has voted (for quorum purposes), individual vote selections are never stored, logged, or accessible to board members, administrators, or AGMVote staff.

4. Data Sharing

We do not sell, rent, or trade your personal information. We may share data only in the following circumstances:

With your corporation's board administrator, as required to operate the meeting portal
With Firebase (Google) for authentication and database services, under their privacy terms
As required by applicable Canadian law

5. Data Storage & Security

Your data is stored on Google Firebase infrastructure with encryption at rest and in transit. We implement industry-standard security practices to protect against unauthorized access.

6. Data Retention

Corporation data is retained for as long as the corporation maintains an active account with AGMVote. Upon request, we will delete corporation data within 30 days.

7. Your Rights

You may request access to, correction of, or deletion of your personal information by contacting your board administrator or reaching us directly at [email protected].

8. Cookies

AGMVote uses minimal cookies for authentication session management only. We do not use tracking or advertising cookies.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Continued use of the platform after changes constitutes acceptance of the updated policy.
